Based on this analysis we can prepare a report that recommends the best process to convert your documents to digital files for fast and easy retrieval. The analysis information and report is given to you at no charge. If you wish, you may choose to proceed with the plan at some future date.

ViaTRON will perform the pickup and delivery of the boxes from your office. ViaTRON only uses ViaTRON Employees for the freight services. ViaTRON has strict rules regarding pickup and delivery.

Chain-of-Custody

• ViaTRON does not outsource any freight services.
• All Pickup and Delivery are performed by ViaTRON trained Employees.
• Drivers keep a detailed Security Log for each trip. All incidences are recorded in detail.
• The travel route is tracked via GPS by a Transportation Manager at ViaTRON.
• A standby driver team is in place to immediately assist in case of mechanical problems.

Scanning Location: ViaTRON can scan at our facility or at our client's office anywhere in the country. We can setup scanning operation at your office.

Your documents may need to be prepared for scanning. ViaTRON has a team of employees to perform the Document Preparation work. All work will be performed by ViaTRON Employees.

Document Preparation

• Removing paperclips and staples
• Fixing tears or dog-ears
• Smoothing pages for clean feed
• Making copies of poor quality documents to maximize scan quality
• Mounting small documents and attached photographs
• Large and over-sized pages (11" x 17" or larger) shall be prepped in part as requested.
• Photos and Color documents will be tagged for special handling.

After preparing the documents, ViaTRON will begin scanning your documents. ViaTRON has scan over half a billion documents in the 21 years of business. ViaTRON has the capacity of scanning over 1,000,000 pages a day.

Scanning Services

• The scanners have the capability to scan from Business Cards to Large Format Drawings including Microfilm/Fiche.
• The scanners are capable of scanning B/W, Gray scale, Color.
• ViaTRON's scanner software can output the image to all major file formats
• Special Image Enhancement Software shall be used - De-speckling, De-skewing, Image rotation, Background suppression, Adaptive threshold, Edge enhancement, and Gray tone filtering.
• ViaTRON's Scanner Technicians will monitor the size, resolution and format of each document scanned using the tags/markers place by the Document Preparation team.

The files will always be kept together. This will ensure the documents are always in the same order.

You may want to index your documents for fast and easy retrieval. ViaTRON data entry department can index your documents.

Indexing Services

• You can choose one or more index fields that best suit your operation.
• ViaTRON can also custom index your documents for security reasons and advance retrieval.
• ViaTRON can also perform double blind key indexing to ensure 100% accuracy.

ViaTRON performance 35 Quality Assurance Test from the moment your documents are picked up from your office all the way through the delivery of your data. ViaTRON implements a double check system to ensure all work is accurately performed.

After the documents are scanned, indexed and quality checked, the data will be transferred to your office in the encrypted DVD or sent via secure online upload. You may choose the method of delivery.
